Position Summary
Reporting to the Gifts Officer, the Development Coordinator provides essential administrative and logistical support to Levine Music’s Development team, with a focus on donor data management, board support, event coordination, budget tracking and reporting, and donor stewardship activities.
Duties and Responsibilities
Database and Administrative Support
- Serve as the primary Raiser’s Edge (RE) administrator for the Development team, maintaining donor records, updating constituent information, and ensuring best practice data hygiene.
- Provide timely and accurate gift entry, coding, batching, and reconciliation with Finance; process gifts with corresponding acknowledgment letters in coordination with the Development team.
- Generate queries, exports, lists, and reports related to individual and institutional giving, major gifts strategies, and fundraising campaigns and proposals.
- Track and report on Key Performance Indicators (KPIs) for the department: progress to goals, revenue, and moves management; report on individual campaign results and overall trends.
- Update department calendar with events, holidays, birthdays, etc.
Budget
- Track and manage expenses, including monthly credit card reconciliation.
- Prepare regular pledge reminders and pledge billing as needed.
- Assist with preparing monthly revenue report and quarterly projections.
- Support the annual audit with required reports.
Board Liaison and Event Coordination
- Serve as the liaison for the Board of Trustees, managing trustee lists and demographics, the board handbook, and board portal; manage full board meeting logistics and agendas.
- Serve as primary staff liaison for board committees, managing membership lists, meeting schedules, agendas, and logistics.
- Manage donor engagement events such as receptions, cultivation events, and open houses.
- Ensure timely stewardship follow-up with event attendees, sponsors, and donors.
Donor Engagement
- Provide appeal segmentation and constituent lists to coordinate mailings with the Individual Giving Manager.
- Manage Levine’s Gift-in-Kind program to acquire instruments and other musical supplies as needed
- Support Development event-related marketing, including invitations and design.
- Provide accurate enrollment data for proposals, funder reports, and other purposes.
- Support the VP of Development with scheduling and other projects as needed.
Qualifications
- Bachelor’s degree or equivalent experience in nonprofit management, fundraising, or related field.
- 1–3 years of experience in nonprofit development, fundraising, or administrative support, with a demonstrated ability to manage projects and deadlines.
- Proficiency with donor management systems such as Raiser’s Edge or similar CRMs; ability to learn new software quickly.
- Exceptional organizational skills and attention to detail to ensure accuracy in data entry, reporting, and donor communications.
- Ability to prioritize and manage multiple tasks in a fast-paced environment while meeting deadlines.
- Excellent written and verbal communication skills, with strong interpersonal abilities to build positive relationships with donors, staff, and volunteers.
- Flexibility to work occasional evenings and weekends for donor engagement activities.

Salary: $55,000
